Unified Messaging in Operation at an Energy Supplier in Halle, Germany

Saving expenses for fax machines, a high availability and the electronic processing of messages were the aims of an energy supplier in Halle (Germany) during the search for a suitable unified messaging solution. The company decided to implement serVonic's unified messaging server IXI-UMS.

The Requirements

In order to make the communication in the fields of logistics, sales and distribution and customer care for energy associations more effective, the energy supplier has decided to make use of serVonic's fax and unified messaging solution IXI-UMS already back in the year 2001.

The solution should be able to provide the features Fax and Voice in Microsoft Exchange 2010 as well as in the SAP-system.

Saving expenses for fax machines as well as high availability and the electronic handling of messages were the basic requirements. The company "IT-Consult GmbH" in Halle (Germany) assisted the energy supplier to find the suitable solution: Frank Rittners, Management Consultant, says: "The seamless integration of the IXI-UMS solution into Microsoft Exchange and SAP was the crucial factor." Since this initial decision in favor of serVonic's IXI-UMS, the energy supplier has updated the software continuously.

The latest update of IXI-UMS was in September 2012.

The Solution: Unified Messaging with IXI-UMS

 

serVonic's IXI-UMS is a unified messaging server solution that adds UM-features to messaging systems such as Microsoft Exchange Server or ERP-systems like SAP.

As add-on solution, serVonic's UM-server is seamlessly integrated into the messaging environment and uses the existing architecture with MTA – Message Transfer Agent -, data bases and e-mail client. Users send, receive and manage all sorts of messages – e-mails, faxes, voice mails, SMS – in their familiar e-mail client: Microsoft Outlook. Users can take advantage of the new message types intuitively, they do not have to get to know a new application.

Orders and order confirmations can be sent by fax directly out of the SAP-system. Integration into the messaging or ERP-system is realized by means of Connectors. IXI-UMS is flexible and scalable: The unified messaging services Fax, Voice, SMS and Mobile (remote inquiry) can be installed as required. The external communication is handled via IXI-UMS Kernel and ISDN-, IP- or hybrid-PBX. 

The Use

 

About 550 employees work with serVonic's unified messaging solution, integrated into Microsoft Exchange 2010 and connected to SAP. They send about 60 faxes per day from and receive about 180 faxes directly in their Microsoft Outlook inbox.

The employees send their orders by fax directly out of the SAP-system and receive the sending reports directly in their mailbox. They also send and receive quote requests by fax and make use of the fax feature "mail merge fax" for informing their customers and potential customers. "Especially mail merge faxes save  the energy supplier a lot of time", says Frank Rittners.

30 employees use the IXI-UMS voice box feature: They receive their voice mails as e-mails with wav-file attachment and can listen to the messages by means of the sound card or PC loudspeaker. The employees can handle and manage the UM-messages just like e-mails, e.g. forward, archive or delete them.

The Technical Realization

serVonic's IXI-UMS unified messaging software with the services Fax and Voice is provided for the energy supplier company by "IT Consult GmbH" in an EDPC. IXI-UMS in version 5.80 is installed with IXI-UMS Kernel and the services Fax and Voice with 4 channels on a server of "IT-Consult GmbH" in Halle (Germany). The IXI-UMS Kernel works behind the PBX, which is connected to the PSTN. The communication with Microsoft Exchange Server 2010 is realized by the IXI-UMS Exchange 2010 Connector, the communication with the SAP R/3-system by the IXI-UMS Connector for use with SAP® R/3®. The energy supplier is connected to the EDPC by means of fiberglass connections. The employees can use the features with their workstation-PC's. They send, receive and manage their faxes and voice mails via Microsoft Outlook and send faxes directly out of SAP-applications. The sending reports with information about whether a message has been sent or not as well as further information about the transmission are delivered to the respective inbox. The installation of the IXI-UMS components was finished within a half day without any problems. 

Conclusion

"The implementation of serVonic's IXI-UMS at the energy supplier was very successful," Frank Rittners sums up. "No more fax machines, high availability and electronic data processing have been realized." Moreover, the unproblematic and quick installation satisfied the customer.
